Northwest Arkansas has become one of the country's fastest-growing wedding destinations — Pratt Place, Mount Sequoyah, The Plant Factory, Sassafras Springs. Almost every wedding here now involves flying guests in through XNA. A well-planned Sprinter shuttle is the difference between a smooth reception and a parking-lot traffic jam.
Rule of thumb: one Sprinter per 12 guests + one for the wedding party
For a 60-guest wedding with mostly out-of-town attendance, plan on 3–4 Sprinters running loops between hotels and the venue. For 100+ guests, add a fifth. The wedding-party van is separate — it stays with the couple all day.
Timing the shuttles
First loop 90 minutes before ceremony (early guests, grandparents). Second loop 60 minutes before. Third loop 30 minutes before. Post-reception: shuttles start 30 minutes before end-of-night and run until every guest is back at the hotel. We block Sprinter drivers for the full window rather than by trip.
Venue-specific notes
Pratt Place has a small circular drop-off — Sprinters need to unload quickly and move. Mount Sequoyah's approach road is narrow but Sprinter-friendly. Sassafras Springs has generous parking; the van can wait on-site. The Plant Factory: unload at the main entrance, park in the field lot.
What to budget
Typical NWA wedding shuttle: 6-hour block per van at our published day rate. Two Sprinters covering hotels-to-venue-to-hotels for a Saturday: 12 hours of drivable van time. Live pricing is on the booking page — most wedding coordinators book 6–10 weeks out. Fall Saturdays (October) go first.
